Hours:             35 hours per week (condensed hours over 4 days considered)

Our client, a specialist Domestic Violence charity, is looking to recruit an Executive PA Support Officer to join their team for a 6-month fixed-term role, with the possibility of extension. You'll work closely with the Executive Team and Senior Leadership Team, providing key organisational support and ensuring everything runs smoothly for senior management and the Board.

Synopsis of duties:

  • Support the Executive Leadership Team (ELT) with comprehensive administration and organisational support.
  • Provide diary, email and communication management and scheduling support to CEO and ELT.
  • Arranging meetings with funders, partner organisations, government officials and colleagues to schedule meetings convenient with all.
  • Provide project specific support, where needed.
  • Manage schedules and coordinate meetings (including Board meetings), minute meetings as required. 
  • Arranging and booking meeting rooms either face to face or via video link. Organise IT and communication equipment and providing guidance to support their attendance at the board meeting.
  • Handle communications and assisting with various operational tasks, communicating deadlines, and ensuring they are met. 
  • Event management, including ad hoc organisation of travel and accommodation.
  • Track key decisions and actions made by the organisation and departments.
  • of documentation for Board meetings, aiding the CEO and ELT in reporting key information to the Trustee Board.

Essential Requirements:

  • Ability to prioritise and plan to ensure urgent issues are dealt with, with an awareness of what is important and what is urgent.
  • Strong grasp of Microsoft suite and the latest applications to ensure efficiency with data entry, minute taking and record keeping.
  • Strong written, verbal, and presentation abilities to liaise effectively with staff, managers, and stakeholders with accuracy and good attention to detail.
  • As a gatekeeper and representative of ELT, you need to be familiar with organisational goals and values and build great working relationships within the team.
  • Demonstrated high levels of diplomacy and professionalism, with a focus on confidentiality.
  • Able to see the big picture and how tasks relate to each other. A proactive and continuous improvement mindset, ready to optimise processes.
